About The Job

The African Centre of Excellence for Sustainable Cooling and Cold-Chain (ACES) is an international non-profit organisation that aims to increase the adoption and uptake of resilient, efficient, inclusive and climate friendly cooling and cold-chain with the triple objective of reducing food and vaccine loss; economically empowering subsistence and smallholder farmers and their communities, while mitigating the potential environmental impact of the cold-chain both in Rwanda and pan-Africa.

To achieve its objectives, ACES is seeking a qualified Finance Specialist to oversee finance activities and ensure that they are conducted in a transparent, efficient, and ethical manner in
accordance with donor and ACES regulatory requirements.

Specific Skills
  • Minimum 5 years of experience in finance or accounting roles.
  • Experience in financial planning, budgeting, reporting, and compliance with regulatory standards (local, international, and donor-specific).
  • Familiarity with donor funding regulations and compliance
  • Experience in financial reporting and compliance with regulatory standards (local, international, and donor-specific).
  • Strong understanding of financial reporting and accounting principles.
  • Proficiency in financial management software (e.g., QuickBooks, ERP systems).
  • Excellent analytical and problem-solving skills.
  • Attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.
Responsibilities & Duties
  • Prepare accurate and timely financial statements, including balance sheets, income statements, and cash flow statements.
  • Ensure compliance with accounting standards and regulatory requirements.
  • Conduct financial analysis and provide insights to support decision-making.
  • Lead ACES budget formulation, execution, monitoring, analysis and reporting activities
  • Advise on budget allocation and reallocation
  • Provide recommendations for budget adjustments based on financial performance.
  • Manage day-to-day accounting functions including accounts payable, accounts receivable, and general ledger.
  • Invoicing
  • Reconcile bank statements and manage cash flow.
  • Ensure accurate and timely processing of financial transactions.
  • Ensure adherence to financial policies, procedures, and internal controls.
  • Ensure adherence to financial policies, procedures, and controls of the funders.
  • Prepare for and coordinate audits and inspections.
  • Maintain up-to-date knowledge of financial regulations and best practices.
  • Prepare financial reports for internal and external stakeholders.
  • Maintain accurate and organized financial documentation and records.
  • Assist in the preparation of financial sections for grant proposals and reports.
  • Prepare cheque and on-line payments for review by the Executive Director in compliance with ACES Financial procedures and funder’s policies and regulations, with correct coding and supporting documentation.

  • Organise accounting records such as registers, ledgers, journals and individual accounts
  • Evaluate and reconcile diverse financial operations, inspect and confirm source documents, including invoices and expense vouchers to affirm commitments and post suitable records
  • Handle tax returns if required
  • Prepare and process payroll and ensure timely and accurate payment of salaries.
  • Manage organizational expenses and ensure cost-efficiency.
  • Processing of accounts receivables transactions and managing the payment collections of customer
  • Develop and maintain financial management systems and procedures.
  • Provide financial advice and support to ACES management.
  • Participate in financial planning and strategy discussions.
  • Create detailed budget for ACES
  • Assist in financial risk management and mitigation strategies.
  • Coordinate with external auditors for annual audits and ensure compliance with audit recommendations
 
Educational Requirements
  • Minimum Bachelor’s degree and preferably Master’s in Finance, Accounting, Business Administration, or related field.
  • Professional certification (e.g., CFA, CPA, ACCA) is preferred.
