Project Coordinator

Project Coordinator

HC Solutions Ltd
About The Job

We are seeking a highly motivated and solutions-oriented Project Coordinator to lead the day-to-day implementation of our inclusive education pilot program. This is not a passive role—we are looking for someone who takes initiative, anticipates needs, keeps leadership
informed, and takes full ownership of workstreams.

This role blends operations, logistics, and program coordination, with opportunities for growth into facilitation and mentorship roles. The Coordinator will work closely with a multicultural team of senior leaders and technical experts—many of whom are based in different countries and time zones—so comfort with virtual collaboration and cross-cultural communication is essential.

Specific Skills
  • Minimum of 3 years of experience managing projects or coordinating education programs, preferably in the disability or nonprofit sector.
  • Strong organizational skills with demonstrated ability to self-direct, prioritize, and follow through.
  • Clear communicator with the ability to work collaboratively and keep supervisors and partners well-informed.
  • Experience working with cloud-based tools (Google Workspace, Airtable, Asana, etc.)
  • Fluency in both Kinyarwanda and English is required; French is an added advantage.
  • Comfortable working with virtual teams and across cultures and time zones.
Responsibilities & Duties
  1. Program & Operations Management
    • Lead the coordination of day-to-day activities at the pilot site and serve as the program’s operational backbone.
    • Take initiative in tracking expenditures, managing budgets, and supporting financial reporting.
    • Oversee procurement and vendor relationships with a high degree of follow-through and accountability.
    • Ensure timely documentation of meetings, activities, schedules, and internal communications.
    • Monitor adherence to internal policies and donor requirements, raising concerns early and offering practical solutions.
  2. Team & Consultant Coordination
    • Serve as a key liaison among consultants, trainers, school staff, and senior leadership, ensuring alignment on priorities and timelines.
    • Keep supervisors informed of progress, potential risks, and opportunities— proactively offering recommendations when appropriate.
    • Prepare logistics and materials for in-person and virtual trainings; troubleshoot in real time when needed.
    • Attend training sessions and classroom activities to document implementation and identify gaps or support needs.
    • Work effectively with a multicultural and partially remote team, ensuring timely communication across time zones.
  3. Monitoring, Evaluation & Learning
    • Conduct site visits to observe classroom practice, gather feedback, and support data collection.
    • Support the collection and organization of both qualitative and quantitative data for internal learning and external reporting.
    • Contribute to documentation of outcomes, lessons learned, and stories of change.
  4. Stakeholder Engagement
    • Serve as a consistent point of contact between The Moyo Center and Saint Vincent Pallotti School staff.
    • Support coordination of parent and community events, ensuring smooth planning and clear communication.
    • Represent the program in relevant school, district, and partner meetings when needed.
Educational Requirements
  • Bachelor’s degree in Special Education, Education, Psychology, Social Work, or a related field.
